Relations Module - User Manual

Introduction

The Relations module helps bands manage contacts and relationships with venues, bookers, festivals, and other business contacts. You can store contact information, set reminders, link relations to gigs, and manage newsletter subscriptions.


Getting Started

Accessing Relations

  1. Select a band from the band selector
  2. Click "Relations" in the main menu (under "Band")
  3. You'll see a list of all relations for the selected band

Permissions

Your access to relations depends on your user level and permissions:

  • View — You can see relations and their details
  • Edit — You can create, modify, and manage relations and reminders
  • Delete — You can remove relations (if granted)

Creating a Relation

Adding a New Relation

  1. Click the "Add Relation" button
  2. Fill in relation details:
    • Name (required) — Contact person name
    • Company (optional) — Company or organisation name
    • Type (optional) — Relation type (venue, booker, festival, impressariaat)
    • Email (optional) — Contact email
    • Phone (optional) — Contact phone number
    • Address (optional) — Physical address
    • City (optional) — City
    • Country (optional) — Country
    • Notes (optional) — Additional information
  3. Click "Save"

Relation Types

  • Venue — Performance venues
  • Booker — Booking agents
  • Festival — Festival contacts
  • Impressariaat — Agency contacts

Managing Relations

Editing a Relation

  1. Open a relation's detail page
  2. Click "Edit"
  3. Update any information
  4. Click "Save"

Viewing Relation Details

Click on a relation in the list to see its detail page:

  • Contact information (name, company, type, email, phone, address, city, country, notes)
  • Reminders
  • Associated gigs (if Gigs module is installed)
  • Newsletter subscriptions (if Newsletters module is installed)
  • Email history

Deleting a Relation

  1. Open a relation's detail page
  2. Click "Delete"
  3. Confirm deletion

Warning: Deleting a relation removes all associated reminders and email history.


Reminders

Reminders let you schedule follow-ups for relations. A reminder becomes visible on your dashboard from the chosen date and stays until you mark it as done.

Adding a Reminder

  1. Go to a relation's detail page
  2. Click "Add Reminder"
  3. Set the "Remind me from" date — the reminder appears from this date
  4. Enter a description — e.g. "Mail Piet for planning 2028"
  5. Click "Add"

Managing Reminders

On the relation detail page you see all reminders with their status:

  • Active (red badge) — The remind date has passed, action needed
  • Scheduled (blue badge) — The remind date is in the future
  • Done (green badge) — Completed

Click the checkmark button to mark a reminder as done. Click the trash button to delete a reminder.

Dashboard Widget

Active reminders (where the remind date has passed and status is pending) appear as a widget on the band dashboard. From the widget you can:

  • See which relation the reminder is for
  • Read the reminder description and date
  • Click the relation name to go to its detail page
  • Mark the reminder as done directly

Linking Relations Together

Relations can be linked to each other — for example, linking a booker to a venue or a festival to an agency. Links are bidirectional: if you link A to B, it shows on both detail pages.

Linking an Existing Relation

  1. Go to a relation's detail page
  2. In the "Linked Relations" card, click "Link Relation"
  3. Search for the relation you want to link (by name, company or email)
  4. Optionally filter by type (venue, booker, festival, impressariaat)
  5. Click on a result to create the link

Creating and Linking a New Relation

  1. Go to a relation's detail page
  2. Click "New + Link"
  3. Fill in the new relation's details (name, company, type, etc.)
  4. Click "Create & Link" — the new relation is created and immediately linked

On the "Linked Relations" table, click the X button next to any linked relation to remove the link. This does not delete either relation — it only removes the connection between them.


Linking Relations to Gigs

Creating Gigs from Relations

  1. Go to a relation's detail page
  2. Click "Create Gig"
  3. Fill in gig details (title, date, times, location, note)
  4. The relation is automatically linked to the gig

Viewing Relation Gigs

On the relation detail page, the "Gigs" section lists all gigs associated with this relation. Click a gig to view its details.


Newsletter Integration

Adding Relations to Newsletter Lists

  1. Go to a relation's detail page
  2. Click "Add to List" (requires the relation to have an email address)
  3. Select a newsletter list
  4. Click "Add"

Viewing Subscriptions

On the detail page the "Newsletters" section shows which lists the relation is subscribed to.


Searching Relations

  1. Go to the relations list
  2. Use the search box at the top
  3. Search by name, company name, or email
  4. Results filter the table and show a typeahead dropdown

Relation Limits

Your package may have a maximum number of relations per band. If you reach the limit:

  • You'll see a message when trying to create more
  • Delete unused relations to free up space
  • Contact your administrator to upgrade your package

Tips and Best Practices

  1. Fill in company names — Makes it easy to find contacts by organisation
  2. Use reminders — Set follow-up reminders so you don't forget to reach out
  3. Link to gigs — Connect relations to gigs for easy reference
  4. Keep information current — Update contact details regularly
  5. Use types — Categorise relations for better organisation
